Stage 1 – Setting up the QR codes
1. In the event setup, please click on “Publish Options.”
2. In the publish options section, ensure that the order confirmation options are set
to 2D – QR code. There are three options available to you here.
Option 1: Includes one barcode per order, even if there are multiple attendees.
Option 2: Includes an individual barcode for each individual attendee within that one
order. Helpful for attendees who book together but arrive to the event separately.
Option 3 – Combination: Options 1 and 2 both selected, giving flexibility on the day or
evening of the event depending on whether a group has all attendees with them or if
they arrive individually.
Please see an example of an order confirmation with option 3 – both options – selected.
There is a QR code at the top right-hand-side of the page (option 1), and then individual
QR codes for each attendee (option 2).
This provides you with the flexibility of either scanning in an entire group at once, or
each attendee individually. This is helpful as some of your attendees may arrive in the
group they booked with; however, others may arrive at separate times to each other.
Recommended setup: Option 3 (Combination), utilising both options 1 and 2.
Stage 2 – Using the Participant App
Section 1 – Android Devices
1. Please download the Participant App from the App store. It will appear as per the
below, a blue ‘P’ icon on a white background.
2. Please login to the Participant App using the same information that you would
use to login to the Participant admin portal. If you do not have these login details,
please contact your administrator.
3. Once you have logged into the Participant App, please tap on “access control.”
4. After tapping on “Access Control” please tap on “go.”
5. Please select the relevant event.
6. Please tap on “Scan Orders”
7. Please ensure that “Automatic Check-In” is ticked and then tap on the camera
icon.
8. You can then hold the phone up to the QR code, and it will scan the attendee(s) in
automatically.
9. If you wish to double check an order, you can go back and tap on “Search Orders.”
Those marked green with ‘Access Granted’ have been checked in successfully.
You can tap on the green circle to uncheck an order, if required.
Section 2 – Apple Devices
1. Please download the Participant App from the App store. It will look like this, a
white ‘P’ icon on a blue background.
2. Please login to the Participant App using the same information that you would
use to login to the main Participant admin portal. If you do not have these login
details, please contact your administrator.
3. Please tap on “Access Control” at the bottom of the page.
4. Please tap on “Events.”
5. Please select the relevant event, then tap on “Continue.”
6. Please tap on “Scan Orders.”
7. Please ensure that “Automatic Check-In” is ticked and then tap on the camera
icon.
8. You can then hold the phone up to the QR code, and it will scan the attendee(s)
in automatically.
9. If you wish to double check an order, you can go back and tap on “Search
Orders.” Those marked green with ‘Access Granted’ have been checked in
successfully. To view further, please click on the arrow icon.
